IB CRM: what an introducing broker has to track, and where it happens

The IB's own record of leads, UIDs and deposits, built from the IB's Telegram account and checked against the broker's portal read-only. Not a broker back office.

An IB CRM is the record system on the introducing broker's side of the business: the leads an IB brought in, which ad or post sent each one, the broker account they opened, whether the deposit really cleared, and what stage they are at today. It is not the broker's back office. The broker already has that, and the IB is only a referral code inside it. Scalegram is the Telegram CRM for IBs and forex affiliates. It builds the client list from the IB's own Telegram account, stores no messages, checks each deposit against the broker's IB portal over a read-only API, and reports the deposit server side to Meta, TikTok and Snapchat.

The reason an IB needs its own CRM is a gap nobody else fills. The broker knows who deposited but has never seen the conversation. The IB has the conversation but cannot see the deposit. Every screenshot of a "confirmed" deposit that turned out to be somebody else's account lives in that gap.

What an IB CRM has to record

A generic sales CRM ships with a company, a contact, a deal value and a close date. An IB's deal has none of those shapes. The "deal value" is a deposit in a portal the CRM cannot log into, and the close is a join request on a paid group that should only be approved once the money is real. Here is the set Scalegram writes onto a client card, and where each field comes from.

FieldWhere it comes fromWhy the IB needs it
Telegram identityThe IB's own account, importedThe person is already in the DMs
Source ad, campaign, creativeThe tracked link's UTM tags and click idWhich ad brought a depositor, not a clicker
Broker and UID or account numberAsked for in the chat, then looked upThe broker pays on the UID
Signup emailAsked for in the chatThe key the portal is searched by
Deposit confirmed, amountRead from the broker's IB portalNever from the customer's word
StageMoved by the bot as things happenNew, Contacted, Interested, Account Opened, Deposited, Active, Churned
Tags and dated notesBot or IBSub-affiliate, offer, language

Account Opened and Deposited are two different stages because they are two different facts, and the second one cannot be filed from the chat. What a Telegram CRM is covers the general case; this page is about the IB's.

Why the IB's own Telegram is where it happens

Most CRMs that mention Telegram reach it through a bot token. Kommo's Telegram integration page lists the setup as "Create a bot in Telegram. Copy the bot's API token. Paste the API token in Kommo." That works for a shop that starts fresh. An IB does not. The people who have written to the IB personally since 2022 never wrote to a bot, so they never become records.

Scalegram connects the IB's personal account with the phone number and login code, two-factor supported, and imports every contact plus everyone who ever texted, from all history. Each becomes a client card. The connection is read-only by design: no bulk sending, no drip campaigns, no automation of the account. The single write it can make is saving a lead into the real Telegram contact list under a chosen name, when the IB clicks it.

The AI bot is a separate identity on the same Telegram. It answers every lead in the language the message arrived in, in the IB's words, on the IB's own Grok, OpenAI or DeepSeek key, and decides for itself whether the person is ready, still deciding or not a buyer. Telegram CRM for IBs walks through that flow step by step.

Reading the broker's records without touching them

Once, under Integrations, the IB pastes the broker's IB portal address (or the prop firm's CRM address) and an API key. From then on the bot can look a customer up by email in the middle of a conversation: whether the account exists, whether a payment completed, how much, which plan and account size, whether a funded account is live, and whether KYC passed. An affiliate-scoped key shows exactly the clients under that referral, so the bot can also list who has bought and who has not.

Every call is a GET. Scalegram has no code path that writes anything into the broker's system, and the key is stored encrypted and never shown again after it is saved. When a lead says "I deposited yesterday", the bot does not file that. It searches the portal for the email and answers from what the portal says.

Opening the paid group when the deposit is real

The gate on a paid group is a Telegram join request. Telegram's Bot API reference describes the approveChatJoinRequest method: "Use this method to approve a chat join request. The bot must be an administrator in the chat for this to work and must have the can_invite_users administrator right." So the mechanism is plain: make the group's invite link one that needs approval, give the bot that one right, and let it approve the moment the portal confirms the deposit, at 3 am or on a Sunday.

Scalegram then writes the UID, email, broker, deposit and a dated note onto the card, adds or removes tags, and moves the stage to Deposited. Where the IB wants the last word, an Ask Me block stops the flow for a yes or no tap in the IB's own Telegram, say on a stranger claiming a funded account. Everything else completes without one. The how it works section draws the whole thing.

Sub-affiliates and more than one offer

An IB with sub-affiliates has a second problem: whose lead was this? Answer it at the link. Every Scalegram tracked link carries the standard UTM tags, so a sub-affiliate gets a link with their own utm_source or utm_content, and every subscriber it brings is reported under them, broken down by source, then medium, campaign and creative. A tag on the client card filters the list by sub-affiliate in one click.

More than one broker or prop firm works the same way: the broker field sits on the card, tags separate the offers, and on the full plan each offer can run its own bot.

Tying the deposit back to the ad

Meta describes its Conversions API as designed "to create a connection between an advertiser's marketing data (such as website events, app events, business messaging events and offline conversions) from an advertiser's server, website platform, mobile app, or CRM to Meta systems that optimize ad targeting, decrease cost per result and measure outcomes". A deposit is exactly the CRM event that sentence has in mind. Unless something sends it back, the campaign keeps buying clicks.

Scalegram's tracked links read fbclid, gclid, ttclid and sccid off the click, and a dedicated bot reports every channel join server side to Meta, TikTok and Snapchat, immune to ad blockers and iOS. The IB gets a number per ad that is different from clicks: who joined, and who went on to deposit.

What an IB CRM is not

It is not the broker's back office. The portal stays the source of truth for money; the IB CRM reads from it and files the result next to the conversation. Scalegram sends no signals, gives no trading advice and promises no results.

It is also not a team inbox or an outreach tool, and other products are better at those. Entergram says on its home page that it "connects your personal Telegram account, the same one you use on Telegram Desktop or mobile. It is not a bot", and lists chat assignment, a shared inbox, support ticketing and broadcasts. A support desk with five agents fits that. CRMChat's Telegram CRM page offers to "Move leads across the pipeline with automated sequences triggered by the deal status change", which fits a business built on outbound sequences. Neither page describes a broker lookup, a deposit check or a UID field. Best Telegram CRM 2026 ranks them by job.

Price

Lite is $99 a month: one bot, one Telegram account, one tracked link, one seat and 10,000 clients, among other single counts. The full plan is $999 a month with unlimited bots, accounts, links, seats and clients. Every feature is on both plans; only the counts change. Card payment goes through Whop as merchant of record, monthly. One IB, one broker, one channel is a Lite account. Sub-affiliates with their own links, or several brokers each with a bot, is the full plan. The pricing section has the line by line.

If you are an IB and the sale ends with a deposit in a broker's portal, Scalegram is the CRM built around that moment. Sign in and start with the broker key. The affiliate version of the same funnel is in the forex affiliate CRM guide.

Sources

The broker knows who deposited and has never seen the chat. The IB has the chat and cannot see the deposit. An IB CRM is the thing that reads one and files it next to the other.

Key takeaways

  • An IB CRM is the IB's own record of leads, UIDs, deposits and stages; the broker's back office stays the source of truth for money.
  • It has to be built from the IB's own Telegram account, or the people already in the DMs never become records.
  • Scalegram checks each deposit against the broker's IB portal over a read-only API and opens the paid group only then.
  • Lite at $99 a month fits one IB with one broker; the full plan at $999 a month removes the counts.

Frequently asked questions

What is an IB CRM?

An IB CRM is the introducing broker's own record of every lead, the ad that brought them, the broker account and UID they opened, whether the deposit cleared, and their current stage. Scalegram is the Telegram CRM for IBs and forex affiliates and reads the deposit from the broker's IB portal over a read-only API.

Is an IB CRM the same as the broker's back office?

No. The broker's back office belongs to the broker and shows the IB only as a referral code. An IB CRM sits on the IB's side, next to the Telegram conversations, and reads the broker's records rather than replacing them.

Can Scalegram change anything in my broker's portal?

No. Every call is a read-only GET, there is no code path that writes to the broker's system, and the API key is stored encrypted and never shown again after saving.

How does an IB CRM handle sub-affiliates?

Each sub-affiliate gets a tracked link with their own UTM tags, so every subscriber they bring is reported under them and broken down by source, campaign and creative. A tag on the client card filters the list by sub-affiliate.

Does Scalegram store my Telegram messages?

No. There is no message table in the product, and the account connection is read-only.

Put one bot on your own Telegram

Scalegram answers every lead in the language it arrived in, checks the deposit against the broker's own records, opens the paid group and files the client. Lite starts at $99 a month.
