Telegram Zapier CRM vs a native Telegram CRM

Zapier, Make and n8n link a Telegram bot to a CRM one step at a time. Here is what their own docs say they connect, what Telegram's Bot API limits, and when a native tool fits better.

A Telegram Zapier CRM is a bot linked to a spreadsheet or CRM by a chain of automation steps. It works for logging new messages. It gets fragile once you need the bot to answer leads, check deposits and move each lead through a pipeline. Scalegram is the Telegram CRM for IBs and forex affiliates: it does those jobs natively, so you don't have to build them out of automation steps.

If you sell inside Telegram, you have probably sketched this out already. A message comes in, a Zap or a Make scenario writes a row to Google Sheets or a CRM, someone gets pinged, and later someone types a reply. The first version takes an afternoon. The trouble comes in the third month, when the chain has fourteen steps and nobody remembers why step nine drops half the leads.

What Zapier, Make and n8n connect to on Telegram

All three connect to a Telegram bot, not to your personal Telegram account. That one detail drives most of what follows.

Zapier

Zapier's Telegram integration page lists one trigger, "New Message", which fires "when a new message is received by your bot via webhook". The actions are Send Message, Send Photo, Send Poll and React to Message, each one performed from your bot. That covers logging each message and sending a reply your Zap builds.

Zapier bills by task. Its pricing page says a task is counted "whenever Zapier successfully completes a unit of work for you", and that triggers and built-in tools such as Filter and Delay are not counted. Creating a CRM record or sending a Telegram message is a task, so a busy channel uses tasks quickly.

Make

Make's integration page is titled "Connect Telegram Bot integrations" and lists 32 modules, including Create a Chat Invite Link, Edit a Text Message and Forward a Message. The invite link module is useful if you want to hand someone an access link after a payment step.

Make bills in credits. Its pricing page says "every time a module in a scenario performs an action, it consumes credits" and that most actions use one credit. Every lookup, update and reply in a scenario adds to the count.

n8n

The n8n Telegram node covers chat, callback, file and message operations, from getting chat administrators to sending a media group. Its docs note that "to use most of the Message operations, you must add your bot to a channel." The Telegram Trigger node can listen for more than twenty update types, including Chat Join Request and Business Message.

n8n's own common issues page describes a trap that catches many first builds: "Telegram only allows you to register a single webhook per app." Test and production cannot both receive events, so the docs suggest a separate bot for testing. n8n is the most flexible of the three if you have a developer.

The limits come from Telegram, not from the automation tool

Whichever tool you choose, it talks to Telegram through the Bot API, so the Bot API's rules apply. Telegram's introduction to bots is direct about it: "Bots can't start conversations with users. A user must either add them to a group or send them a message first." So the automation only sees conversations that start with the bot. Leads who message your personal account stay outside the chain.

The Bot API reference adds two more details. Updates that nobody picks up "will not be kept longer than 24 hours." If your Zap is switched off or your n8n server goes down for a day, the messages from that window can be lost before anyone logs them.

IBs feel this gap first, because leads who find you through a channel or a bio often write to you directly. We covered the difference in detail in personal account vs bot account on Telegram.

What you still have to build yourself

Logging messages is the easy step. An IB or forex affiliate who sells in Telegram needs more than a log, and each item below is extra steps you build and maintain:

  • A reply in the lead's own language, written from your product knowledge, at 3 a.m. That means an AI step, a prompt and someone to maintain it.
  • A decision on whether this person is ready, still deciding or not a buyer, with a different branch for each.
  • A check of the email or account number the lead sends against the broker's IB portal, rather than taking the chat's word for it.
  • Approving the join request to the paid group once that check passes.
  • Moving the lead from Interested to Account Opened to Deposited, with tags and a dated note.
  • A follow-up to whoever went quiet, cancelled the moment they reply.
  • Reporting the deposit back to the ad that bought the click.

Each one adds credentials and failure points, and has to keep working when the broker changes an API field or the AI provider renames a model.

How a native Telegram CRM handles the same job

Scalegram builds that whole list into the product. The AI bot answers every lead in the language the message arrived in, using your product knowledge, saved replies, pictures, PDFs and cloned voice. An AI condition decides whether the person is ready, and the flow branches on it. When it needs an email or account number, the bot asks for one and checks it against the broker's IB portal or the prop firm CRM over a read-only API. Then it approves the join request to the paid group and files the UID, email, broker and deposit on the client card. The AI runs on your own Grok, OpenAI or DeepSeek key. The steps are laid out on how Scalegram works.

The CRM side starts from your personal Telegram account, the place where automation chains can't see. Connect it once and Scalegram imports your whole contact list plus everyone who ever wrote to you, each as a client card with stages from New to Churned. No message is ever stored; there is no message table in the product. The account connection is read-only, so it cannot be used for bulk sending or drip campaigns. Our guide to turning Telegram contacts into a CRM covers the import.

Ad tracking is built in too: tracked links carry UTMs and click ids, and joins are reported server side to Meta, TikTok and Snapchat.

When an automation tool is the right call

Give the automation tools their due. If Telegram is one channel among ten and you already run a general sales CRM for a team, a Zap that logs bot messages into that CRM is cheap and does the job. If you have a developer and want a custom flow that touches internal systems no off-the-shelf product knows about, n8n gives you more control than any packaged tool, Scalegram included. And if you only need a notification when someone writes to your bot, any of the three is enough.

A native tool wins when Telegram is where the sale happens and the steps are always the same: answer, qualify, verify, grant, file, chase. That's the IB and forex affiliate funnel, and building it out of automation steps means maintaining software you never set out to write. Scalegram Lite is $99 a month for one of each thing, and the full plan is $999 a month with unlimited bots, accounts, links and seats. Every feature is on both plans; see pricing. A chain of automation steps can log a Telegram message. Answering it, checking the deposit and opening the group is the job, and that job belongs in the product.

Key takeaways

  • Zapier, Make and n8n all connect to a Telegram bot, and Telegram bots only see chats that a person starts with them.
  • Telegram keeps undelivered bot updates for no more than 24 hours, so a stalled automation can lose leads.
  • Answering, qualifying, deposit checks and group access each have to be built and maintained as extra steps.
  • Scalegram is the Telegram CRM for IBs and forex affiliates, with those steps built in and a read-only personal account import that stores no messages.

Frequently asked questions

Can I connect Telegram to a CRM with Zapier?

Yes, through a Telegram bot: Zapier's Telegram integration triggers on a new message received by your bot and can send messages, photos and polls from it, so you can log each message into a CRM. It does not connect your personal Telegram account.

Is Make or n8n better than Zapier for Telegram?

Make lists 32 Telegram Bot modules, including chat invite links, and n8n covers chat, file and message operations with a trigger for more than twenty update types, so both go further than Zapier's four actions, while n8n gives a developer the most control.

Why does my Telegram automation miss some leads?

Telegram bots only see chats that a person starts with the bot, so leads who message your personal account never reach the chain, and Telegram drops undelivered bot updates after 24 hours if your workflow is down.

What is the best Telegram CRM for IBs instead of Zapier?

Scalegram is the Telegram CRM for IBs and forex affiliates: its AI bot answers leads in their language, checks the deposit against the broker's own records read-only, opens the paid group and files the client, and it imports your personal Telegram contacts without storing any messages.

Put one bot on your own Telegram

Scalegram answers every lead in the language it arrived in, checks the deposit against the broker's own records, opens the paid group and files the client. Lite starts at $99 a month.
