Telegram lead management: from a chat list to a pipeline

A busy Telegram inbox buries leads under newer chats. Here is what Telegram's own folders and Business tools do, where they stop, and how to run leads as a pipeline.

Telegram lead management means knowing, for every person who wrote to you, who they are, where the sale stands and what happens next, without scrolling a chat list to find out. Telegram gives you chat folders and, with Telegram Business, chat tags and automatic greeting and away messages, which sort chats but do not track a sale. Scalegram is the Telegram CRM for IBs and forex affiliates: it turns everyone who ever wrote to your account into a client card with a stage, and an AI bot answers, qualifies and files each lead for you.

Where Telegram leads get lost

An IB running ads into a channel can get two hundred new private chats in a week. They arrive mixed with friends, broker reps, group notifications and people who wrote once in March. A lead who asked about the minimum deposit on Monday is twenty screens down under newer chats by Thursday.

The losses are always the same few. A lead writes at 2 a.m. in Spanish and gets an answer nine hours later in English. A lead says "I opened the account" and nobody checks whether that is true. A lead goes quiet after receiving the broker link and nobody writes back. None of this shows up anywhere, because the only record is the chat itself.

What Telegram itself gives you for managing leads

Telegram has more than most people use. Chat folders are the first tool. Telegram's folders documentation says chats can be placed into folders "based on their type, mute status, or other custom criteria", with include flags for contacts, non-contacts, groups, channels and bots, and exclude flags for muted, read and archived chats. A folder of non-contacts with read chats excluded is a decent "new leads, unanswered" view.

Telegram Business adds more. The Telegram Business announcement lists quick replies ("shortcuts for sending preset messages"), greeting messages "sent to users who contact you for the first time", away messages for when "your business is closed", chat tags that add "colored labels to chats" based on the folders they are in, links that open a chat with a suggested message, and connected chatbots that "process and answer messages on their behalf". The same post says the features are "available for free to Premium subscribers". Telegram's Business API documentation adds that connected bots are "also available to non-Premium users".

For a seller with thirty conversations a week, folders and quick replies may be enough. Set them up before buying anything.

Where folders and tags stop

Folders and tags describe chats. A sale needs more than that. Four things are missing for an IB or affiliate:

  • A stage. A chat tag says "Leads". It does not say this person has the broker link, opened an account, and has not deposited.
  • Data on the person. Account number, email at the broker, which broker, deposit date: these live in your head or in a spreadsheet.
  • Proof. When a lead says they deposited, Telegram has no way to check it against the broker.
  • Memory of where they came from. The chat does not know which ad or link brought this person.

A greeting message says hello. It cannot ask what the lead trades, judge whether they are ready, or chase them three days later. That is the work a setter does, and on Telegram it usually falls to the owner at night.

How Scalegram handles Telegram lead management

Every lead becomes a client card

You connect your personal Telegram account with your phone number and the code, and 2FA is supported. Scalegram imports your contact list and everyone who ever texted you, from all history, and each person becomes a client card. The card has a stage (New, Contacted, Interested, Account Opened, Deposited, Active, Churned), colored tags, private notes and an Open in Telegram button. Search, filters and paging run on the server, so a list of thousands stays fast.

No message is ever stored. Scalegram has no message table. The connection to your personal account is read-only: no bulk sending, no drip campaigns. The single write it makes is saving a lead to your address book when you click it. We explain the reasoning in Telegram CRM privacy.

The bot works the lead

One AI bot on your own Telegram answers each new lead in the language the message arrived in, using the product knowledge, saved replies, pictures, PDFs and cloned voice you gave it. An AI condition reads the conversation and decides whether this person is ready, still deciding or not a buyer, and the flow takes a different branch for each. When they are ready, it sends your broker link and asks for the email or account number.

Then it checks. Scalegram looks the email up in the broker's IB portal or the prop firm CRM over a read-only API, so the answer comes from the broker's records, not from what the lead claims. If they qualify, the bot approves their request to join the paid group. It writes UID, email, broker, deposit and a dated note onto the card, and moves the stage forward.

A lead who goes quiet gets a queued follow-up hours or days later, cancelled the moment they reply. The AI Follow Up block can send up to five nudges at widening gaps, each written from where that conversation stopped, and stops on its own when chasing would be wrong. Our Telegram lead follow up guide covers the timing.

You keep the last word where you want it. An Ask Me block stops the flow for a yes or no tap in your Telegram, for example before a discount. Everything else runs without you.

Each lead knows where it came from

Send ads to a Scalegram tracked link or one of the Websites Scalegram hosts on your own domain. The link keeps the UTM tags and the click id (fbclid, gclid, ttclid, sccid) against the visitor. Joins and deposits are reported server side to Meta, TikTok and Snapchat, so you can see which campaign produced clients and which produced only chats.

A lead management routine that holds up

Whatever tool you use, the routine matters more than the software.

  1. Answer every new lead within minutes. A lead who waits until morning has often asked someone else.
  2. Give every lead a stage on the first reply, and move it only on a fact: a link sent, an account confirmed, a deposit checked.
  3. Write down the broker account or email the day you get it, on the lead's record, not in the chat.
  4. Decide your follow-up gaps once and stick to them. Stop chasing anyone who said no.
  5. Review Churned and quiet leads weekly by source, so you stop paying for the ads that fill the list with people who never become clients.

Stages are defined in more detail in Telegram sales pipeline stages, and the wider picture is in what is a Telegram CRM.

Which setup to pick

If you sell something general on Telegram and handle a few dozen chats, use Telegram's folders, and Business quick replies if you already pay for Premium. If you need multi-step outbound sequences or a shared inbox across many messengers, a different kind of tool fits better, and Scalegram does not send bulk messages from your account.

If you are an IB, forex affiliate or prop firm affiliate and your leads end in a broker deposit, Scalegram does that job end to end. Scalegram Lite is $99 a month with one bot, one Telegram account and 10,000 clients. The Scalegram plan is $999 a month with unlimited counts, and every feature is on both. A chat list tells you who wrote last. Lead management tells you who is one step from becoming a client, and that needs a record per person that someone keeps up to date.

Key takeaways

  • Telegram folders and Business tags sort chats by type and folder, but carry no sale stage, no customer data and no deposit check.
  • Telegram Business quick replies, greeting and away messages are free for Premium subscribers, and connected bots also work for non-Premium users.
  • Scalegram turns everyone who wrote to your Telegram into a client card with a stage, and stores no messages.
  • The Scalegram bot answers in the lead's language, checks the deposit against the broker's records over a read-only API and moves the stage itself.

Frequently asked questions

How do I manage leads on Telegram?

Give every lead a record with a stage, the details you collected and the next step, and update it on facts rather than memory. Scalegram is the Telegram CRM for IBs and forex affiliates: it builds that record from your Telegram account and an AI bot keeps it current.

Can Telegram folders work as a CRM?

Folders can sort chats by type and by read, muted or archived status, which gives a rough unanswered list. They hold no sale stage, no customer data and no deposit check, so they work for a few dozen chats and break down beyond that.

Do I need Telegram Premium for Telegram Business features?

Telegram says its Business features are free for Premium subscribers, and its API documentation says connected business bots are also available to non-Premium users.

Does Scalegram store my Telegram messages?

No. Scalegram has no message table, and the personal-account connection is read-only, with saving an address-book contact as its only write.

What is the best Telegram lead management tool for IBs?

For an IB whose leads end in a broker deposit, Scalegram fits the job: it answers in the lead's language, checks the deposit against the broker's own records and reports deposits to Meta, TikTok and Snapchat server side.

Put one bot on your own Telegram

Scalegram answers every lead in the language it arrived in, checks the deposit against the broker's own records, opens the paid group and files the client. Lite starts at $99 a month.
